Two ways to hand work to AI

Gemini is Google’s AI, included in the Google Workspace Business plans. Workspace Studio lets each user create no-code flows that work on their own: an email received in Gmail, a form response or a changed file starts a series of steps, such as drafting a reply, adding a row to a Google Sheets spreadsheet or scheduling a meeting. Studio connects the Google apps and a few others, such as Asana, Salesforce and Slack. Google also sells Gemini Enterprise, a separate app where each employee builds agents without code and connects them to Microsoft 365, Google Workspace, HubSpot or Jira. Both options meet real needs. The right choice depends mostly on the scope of the work to hand over and on your business’s tools.

Workspace Studio fits better if

Your team works in Gmail, Drive and Sheets, and each person wants to automate their own tasks without waiting for anyone. Your flows stay within Studio’s limits, and Gemini is already included in your Workspace subscription.

Belowdecks fits better if

The work to hand over involves several people or your customers, such as a request received on your website. Important actions wait for your go-ahead, and our team installs and monitors the agents.

Common questions about Belowdecks and Gemini

We use Google Workspace. Can Belowdecks work with our tools?

Belowdecks agents connect to your mailboxes and your software, and our team sets up these connections at installation. The diagnostic checks how to connect your Gmail mailboxes and your other tools, and determines what stays in your Studio flows and what moves to the agents.

What are Workspace Studio’s limits?

Google sets 25 flows per person, 20 steps per flow and 25 active flows triggered by Gmail. A daily run limit also exists, and Google does not publish its value.

A shared flow is a copy: each person who receives it gets their own flow, separate from those of the other team members.

Can we require approval before a flow sends an email?

Yes. The Workspace administrator can require approval before sending messages, editing shared files and acting in the calendar. The flow then waits for approval, given in Studio, in Google Chat or in the Gmail side panel.

In Belowdecks, we set up the agents at installation to ask someone on your team for their go-ahead before an important action. That person can answer from an email.

Where is the data kept in each case?

Google Workspace offers a data region in the United States or the European Union, or no preference. It offers no Canadian region, and Gemini processing in the chosen region is reserved for the Enterprise Plus and Frontline Plus plans.

Your data is kept in your Belowdecks workspace, hosted in a region agreed at the diagnostic, which may be outside Quebec. The text an agent reads goes through the AI provider, such as Anthropic or OpenAI, on your company’s account, and may be processed outside Quebec. Your privacy impact assessment must take this into account.
